Act as a primary resource to the NOMA President, Executive and Board.
Maintain the financial records of the Association and report regularly to the Board.
Perform the administration functions associated with the ongoing operations of NOMA including the maintenance to the Executive of contact information for the Executive, Board and membership.
Prepare and circulate agendas and support materials for all Executive, Board, Committee and General Meetings.
Attend all assigned meetings and take minutes/notes and conduct follow-up as required.
Serve as the NOMA lead for organizing Annual General Meetings, NOMA conferences and any other major event sponsored by NOMA.
Attend and support the NOMA President, Executive Vice President and Past President, Executive and Board at AMO Board meetings, AMO, OGRA/ROMA conference and FONOM Annual conference and any other conferences or meeting where NOMA is significantly involved. This shall include all travel arrangements not made directly by the Executive or Board member.
Conduct research on relevant municipal issues and prepare position papers, briefs and newsletters for the NOMA Executive, Board and members.
Coordinate meetings between NOMA and Provincial and Federal Cabinet Members, MPs, MPPs, Government officials and other organizations as required.
Provide information and advice to NOMA member municipalities and acts as a confidential liaison between the members and various provincial and federal ministries and departments.
Maintain proper file records including financial for the Association based on established retention criteria.
Prepare an Annual Budget for approval of the NOMA Board and membership.
Maintain accurate expense listings for NOMA representatives, apply approved policies for reimbursement and submit all claims to NOMA funders in a timely fashion.
Maintain and enhance the NOMA website in a timely manner.
Make arrangements for an annual financial audit for presentation at the Annual General Meeting.
Pursue any and all grants from other orders of Government or any other funders for the benefit of NOMA.
Act as a liaison between NOMA and any related organizations.
Supervises any part time or contract employees or contractors engaged by NOMA.
Perform all duties in accordance with the NOMA constitution and provide advice to the President, Executive and Board on the procedures to be followed by the organization.
Perform all other duties as assigned, from time to time, by the Executive
Conditions of Employment
• Must be prepared to work flexible hours from various work sites including a home based office option.
• Must be able to work overtime as workload demands.
• Must have and maintain a valid Driver’s License and have own transportation means.
• Must reside in Thunder Bay.
• Once travel restrictions are lifted, must be willing and able to travel on a regular basis to support the organization’s operations and advocacy efforts.
